What you need to know
- An office is where the records of a business live: incoming mail, outgoing mail, files, money records.
- Departments: accounts, sales, purchases, personnel, stores. Know one job of each.
- A memo is internal. A business letter is often external. A report has a title, findings, recommendations.
- Invoice: this is what you bought and what you owe. Receipt: this is what you paid. Do not mix them.
- Debit note: we undercharged you. Credit note: we overcharged you, or you returned goods.
- Filing: alphabetical, numerical, chronological, geographical. A file you cannot find is a file you do not have.
The mistake to avoid
A receipt is not an invoice. If a trader will not give a receipt, you have no proof of payment.
